As part of our Trust’s vision to adopt a cloud-first approach to IT infrastructure, we are now launching the next phase of our migration journey: moving user areas to Microsoft OneDrive. This builds on the progress made during 2023/2024, when we began migrating central staff shared areas to Microsoft Teams.
This next step further enhances our use of the Microsoft environment, enabling greater flexibility in how we work, more streamlined access to resources, and stronger protection in the event of a cyber incident.
The Aim
By September 2025, we aim for all staff personal areas such as My Documents, Photos, Videos, and Downloads, to be fully stored in Microsoft OneDrive. At that point, personal storage areas on our internal servers will be retired.
Between now and 1st September, we’ll be working with staff across the Trust to ensure all necessary files are successfully migrated. You can move content either by selecting individual files or transferring entire folders. This is also an ideal time to review your files and remove any outdated or unnecessary items.
Migration Roadmap
Below is our migration roadmap, outlining the key stages of the process that will run from now until 1st September 2025. Following an internal review of our file storage, we’re pleased to see that many staff have already begun using the OneDrive environment for their personal document storage.
Date | 14th May | 1st July | 31st August |
Action | OneDrive Migration Comms sent to all school staff | Personal My Documents locked to read only | Personal My Documents removed from view
|
Detail | School staff informed of the plan to migrate and information sent round of support sessions and help guides on how to achieve this.
| From this point staff will only be able to open documents held within their my documents area and not be able to save to it. | From this point staff will no longer be able to access their my documents area however files will be stored on the archive to support document retrieval should it be needed.
|
From September onwards, all staff documents will be stored exclusively within the OneDrive environment.
Useful Resources
We recognise that this transition is a significant step, and we’re building on our experience from supporting schools through similar moves from local storage to OneDrive. Below are links to helpful how-to guides and resources available via our Service Desk.
Our technicians and engineers will also be working with staff across all Trust schools to provide support and guidance throughout the migration process.
More training resources will be added shortly to support with the migration. Please also speak with your allocated support technician or engineer should you require further assistance.
